Terms of Service
Last updated: [FINAL APPROVAL DATE]
1. Who we are
SubjectMatch ("we", "us") is a trading name of [LEGAL NAME], a sole trader based in Ireland, at [ADDRESS]. You can contact us at hello@subjectmatch.ie or on [PHONE NUMBER]. We usually reply within two working days.
These terms apply when you order a SubjectMatch report. Please read them before you pay. They don't take away any of your rights under Irish consumer law. Where these terms and the law differ, the law wins.
2. The service in brief
SubjectMatch writes a personalised subject-choice report for one child. You and your child answer a questionnaire together, for free. If you then order, we write a report of about 36 pages from those answers and email it to you as a PDF.
There are two reports:
- Junior Cycle report: for a child in 4th to 6th class in primary school choosing first-year subjects.
- Leaving Cert report: for a student choosing Leaving Cert subjects.
The report is written with the help of AI tools, from your answers and your child's answers. A person reads and checks every report before it's sent.
The report is a PDF file. It opens on any phone, tablet or computer with a PDF reader, and has no copy protection or other technical restrictions.
3. What the report is, and what it isn't
The report is guidance to help your family think about subject choices and the years ahead. It is:
- based on the answers given in the questionnaire, so it can only be as accurate as those answers;
- general information about Irish subjects, exams and school life, checked against official sources when we wrote it.
It isn't:
- careers advice from a registered guidance counsellor;
- a psychological, medical or educational assessment, or a diagnosis of any kind;
- a prediction of grades, points or exam results;
- a replacement for your school's own advice.
Schools offer different subjects, combinations and rules, and college entry requirements change from year to year. Before you decide, check the details with your child's school and with the official sources (for example CAO, the SEC, NCCA and the college concerned). The decision is always your family's.
4. Who can order
To order you must:
- be 18 or over;
- be the child's parent or legal guardian;
- be ordering for personal use, not for a business, school or other organisation.
You confirm that your child took part in the questionnaire willingly and knows a report is being written about them.
5. How the contract is made
The questionnaire is free and doesn't commit you to anything.
A contract between you and us is made when you complete payment at checkout. We then email you an order confirmation with these terms, your order details and a record of the choices you made at checkout. Please keep that email.
6. Price and payment
The price is the one shown on the order page when you pay. At the date above it is €49.99 for one report.
- [If not VAT registered:] We are not registered for VAT, so no VAT is charged. [If registered:] The price includes VAT.
- There are no delivery charges and no subscription.
- Payment is taken by Stripe. We never see or store your full card details.
7. Delivery
We email the report to the email address you give at checkout, within 72 hours of your payment.
If the report hasn't arrived within 72 hours, check your spam folder, then email us. If we still don't send it within a further two working days, you can end the contract and we'll refund you in full. This doesn't limit your rights under the Consumer Rights Act 2022 where digital content isn't supplied.
8. Your right to cancel
You have a legal right to cancel within 14 days. Because the report is digital content made for your family, that right ends once the report has been sent to you. This only applies if, at checkout, you asked us to start straight away and confirmed you understood this. Full details, and the cancellation form, are in our Refunds and Cancellations Policy, which forms part of these terms.
9. If something isn't right
Your legal rights. The report must match how we describe it and be fit for its purpose, as the Consumer Rights Act 2022 requires. If it isn't, you're entitled to have it put right free of charge and within a reasonable time. If that can't be done, isn't done, or the problem is serious, you're entitled to a price reduction or a refund. These rights apply whatever this clause says.
Our rewrite-or-refund promise (an extra promise on top of your legal rights):
- What it covers: if any page of the report doesn't sound like your child, or a part is unclear, we'll rewrite that part. If after a rewrite you're still not satisfied that the report describes your child, we'll refund you in full.
- How long: 30 days from the day we sent the report.
- How to use it: reply to the report email, or write to hello@subjectmatch.ie or [ADDRESS], telling us which part and why. We'll send the rewritten part within 5 working days, or refund within 14 days of agreeing a refund.
- Where it applies: anywhere we sell the report.
- Who gives it: [LEGAL NAME] trading as SubjectMatch, [ADDRESS].
- Your legal rights: this promise is in addition to your legal rights as a consumer, not instead of them. Using the promise doesn't affect those rights, and those rights don't depend on it.
10. Your answers
Please give honest, accurate answers. Don't include medical or health details in the free-text boxes; the report doesn't need them. If you do include them, we won't put them in the report. We handle and delete sensitive details as explained in our Privacy Notice, including where a safeguarding concern must be addressed.
If an answer suggests a child may be at risk of harm, we won't include it in the report, and we may contact you or the appropriate services, as set out in our Privacy Notice.
11. Using the report
The report is for your family's personal use. You can share it with your child's school, guidance counsellor or other family members.
You can't sell it, publish it, or copy it for other people or for a business. We own the copyright in the report's design, structure and general text. Your answers stay yours.
12. Our responsibility to you
We take reasonable care and skill in writing every report. Nothing in these terms excludes or limits our responsibility for:
- death or personal injury resulting from anything we do or fail to do;
- fraud or fraudulent misrepresentation;
- anything else the law doesn't allow us to exclude, including your rights under the Consumer Rights Act 2022.
Subject to that, we aren't responsible for loss that wasn't reasonably foreseeable when the contract was made. The report is guidance and the final choice is your family's, but this doesn't reduce our responsibility if the report doesn't conform with these terms or we didn't take reasonable care.
13. Things outside our control
If something outside our reasonable control delays your report, such as a major outage at one of our providers, we'll tell you as soon as we can. You can then wait or cancel for a full refund.
14. Your data
How we use your and your child's information is set out in our Privacy Notice.
15. Complaints
Please contact us first at hello@subjectmatch.ie. We'll acknowledge your complaint within two working days and aim to resolve it within 14 days.
We aren't currently a member of an alternative dispute resolution (ADR) scheme. If we can't resolve your complaint, we'll write to you, on paper or by email, giving details of any ADR entity able to deal with it and telling you whether we'll use it. You can get free, independent advice from the Competition and Consumer Protection Commission (ccpc.ie). If you live in another EU country, the European Consumer Centre in your country can help with a cross-border complaint. Claims up to €2,000 can usually be brought through the District Court small claims procedure (courts.ie).
16. Changes to these terms
We may update these terms from time to time. The terms that apply to your order are the ones in force when you paid, which we email to you in your order confirmation.
17. Law and courts
These terms are governed by Irish law. You can bring a claim in the Irish courts. If you live in another EU country, you can also bring it in the courts where you live, and you keep the protection of that country's mandatory consumer laws.
18. Language
These terms and the report are in English.
Refunds and Cancellations
Last updated: [FINAL APPROVAL DATE]
This policy forms part of our Terms of Service.
In short
- Before your report is emailed to you, you can cancel for any reason and get a full refund.
- Once it's been emailed, you can no longer cancel under your 14-day right. You agreed to this at checkout. This only applies if you ticked that box and we confirmed it to you by email.
- If something in the report is wrong, it's put right or refunded. That never depends on the 14-day right.
1. Your 14-day right to cancel
When you buy online, you usually have 14 days from the day you pay to cancel without giving a reason (Consumer Rights Act 2022, Part 5, Chapter 5).
Your report is digital content written for your child. At checkout we ask whether you want us to start straight away, and whether you understand that you'll lose your right to cancel once the report has been supplied. If you tick that box, and we confirm your choice in your order confirmation email:
- you can cancel at any time until we email the report to you, and we'll refund you in full;
- once we've emailed the report, the right to cancel ends.
If you didn't give that consent and acknowledgement, or we didn't confirm it to you, you keep the full 14-day right. That applies even after the report arrives.
2. How to cancel
Use any of these:
- the "Cancel contract here" function (to be installed and tested before launch);
- an email to hello@subjectmatch.ie saying you want to cancel;
- the model form at the end of this policy, by email or post to [ADDRESS].
To cancel in time, send your request before the report is emailed to you, or within 14 days if you kept the full right. We'll email you an acknowledgement straight away.
3. Refunds
- We refund the full amount without undue delay, and no later than 14 days after we receive your cancellation, to the payment method you used.
- We don't charge any fee for refunding.
- If your report arrives at nearly the same time as your cancellation, we'll treat your cancellation as on time and refund you.
4. If something isn't right with the report
Your legal rights. If the report doesn't match how we describe it, you can have it put right free of charge. If that can't be done, or isn't done in reasonable time, you can have a price reduction or a refund (Consumer Rights Act 2022, Part 3).
Our rewrite-or-refund promise. For 30 days after delivery, if a page doesn't sound like your child or a part is unclear, we'll rewrite it. If you're still not satisfied, we'll refund you in full. See clause 9 of our Terms for the full promise.
Late delivery. If the report hasn't arrived within 72 hours, email us. If we don't send it within a further two working days, you can cancel for a full refund.
5. Your rights stay the same
Nothing in this policy affects your statutory rights. Free advice is available from the CCPC at ccpc.ie.

Privacy Notice
Last updated: [FINAL APPROVAL DATE]
This notice explains what information we collect when you and your child use SubjectMatch, why we collect it, who we share it with, how long we keep it, and your rights. It is written for parents and guardians. There's a shorter version for young people at the end.
1. Who is responsible for your information
The controller of your personal data is [LEGAL NAME], trading as SubjectMatch, [ADDRESS]. For anything about your data, email hello@subjectmatch.ie.
We haven't appointed a Data Protection Officer. The law requires one only where an organisation's core activities involve large-scale, regular and systematic monitoring of people, or large-scale processing of special category data. Ours don't. [LEGAL NAME] is responsible for data protection and answers every question.
2. What we collect
From you, the parent or guardian:
- your email address (for sending the report and for anything about your order);
- your answers in the parent part of the questionnaire, for example how school feels at home, what's on your mind about your child, how much time you have for homework help, and anything else you choose to tell us;
- how you heard about us, and the referral details in the link you used to reach the questionnaire (for example which campaign);
- your order details from Stripe: your name, email, the amount, the date and a payment reference. We never receive your full card number.
- anything you send when you contact us.
About your child, from your child and from you:
- first name only, and how you'd like us to refer to them (she, he or they);
- their school stage and class or year;
- the questionnaire answers about school: subjects they enjoy and find hard, free-time interests, languages, homework, how they learn, how they feel in certain school situations, what's on their mind about the next few years, and their school's subject options if you know them.
What we don't ask for: we don't ask for your child's surname, date of birth, school name, photos or any medical or health information. If sensitive information appears in a free-text answer, we won't use it in the report. We'll delete it when it is no longer needed, subject to any necessary safeguarding record or legal requirement.
On our website: we don't use analytics or advertising cookies. See our Cookie Policy.
Do you have to give it? No law requires you to give us this information. We need your email address and the questionnaire answers to write and send the report, so without them we can't provide it.
3. Why we use it, and our legal basis
| What we do | Legal basis (GDPR Article 6) |
|---|---|
| Use your answers in the parent part of the questionnaire, and your email address, to write and deliver the report you ordered | Contract: to take the steps you ask for before ordering, and to perform the contract once you order (6(1)(b)) |
| Use your child's answers to write a report about your child | Legitimate interests (6(1)(f)): yours, in getting the report you asked for about your child, and ours, in providing it. We've weighed this against your child's interests. We only use what the report needs, a parent is always involved, nothing is used for marketing, and nothing is decided about your child automatically. |
| Take payment, prevent fraud and keep accounting records | Contract (6(1)(b)) and legal obligation (6(1)(c)): tax law requires us to keep business records for 6 years |
| Keep a record of your checkout choices, including your consent to start the report straight away | Legitimate interests (6(1)(f)), in being able to show what was agreed |
| Answer your questions, handle complaints, rewrite parts of a report or refund you | Contract (6(1)(b)) and legitimate interests (6(1)(f)) |
| Email you when the College report opens, if you joined the waitlist | Consent (6(1)(a)). You can withdraw it at any time with the link in any email, or by writing to us |
| Understand which referral links and campaigns bring families to us, in total numbers only | Legitimate interests (6(1)(f)) |
| Defend or bring legal claims | Legitimate interests (6(1)(f)) |
We don't use your information for advertising, we don't sell it, and we don't use it to train AI models. We won't send you marketing emails unless you've asked for them.
4. How the report is made, and automated processing
Your answers are scored against what each subject asks of a student, and AI writing tools help draft the text. This is profiling, because it uses your child's answers to describe how they learn and which subjects may suit them.
It isn't an automated decision with legal or similarly significant effects (GDPR Article 22). The report doesn't decide anything about your child: a person reads and checks it, and the choice stays with your family and the school.
You can object to this processing at any time (see section 8). If you do, we'll stop and refund you if the report hasn't been sent.
5. Who we share it with
We use a small number of service providers ("processors"). They handle your information only on our written instructions, under a data processing agreement, and only to help us provide the report.
| Provider | What for | Where the data is processed |
|---|---|---|
| Tally (Tally BV, Belgium) | Runs the questionnaire | EU [confirm] |
| Make (Celonis/Make.com) | Moves answers and order details between our tools | EU (our account is on Make's EU zone) |
| [OpenAI, under business terms] | AI help drafting report text | [US: confirm entity and transfer safeguard] |
| [Anthropic, under business terms] | AI help with rewriting report text | [US: confirm entity and transfer safeguard] |
| Google (Google Ireland Ltd, Workspace) | Building, storing and emailing the report | EU/US [confirm] |
| Webflow, Inc. | Hosts our website | US |
Stripe (Stripe Payments Europe, Ltd., Ireland) processes your payment. For fraud prevention and its own legal duties, Stripe acts as an independent controller under its own privacy notice (stripe.com/privacy).
We'd also share information if the law required it, or to protect our legal rights.
If we're worried about a child's safety. If something in the answers makes us seriously concerned that a child may be at risk of harm, we may contact you about it. Where there's a risk of serious harm, we may share the minimum information needed with Tusla, the Child and Family Agency, or An Garda Síochána, as the law allows. We'll never put anything like this in the report itself.
6. Transfers outside the EU
Some providers are based in the United States. Where your data goes outside the European Economic Area, it's protected by either:
- the provider's certification under the EU-US Data Privacy Framework, which the European Commission found adequate on 10 July 2023; or
- the European Commission's Standard Contractual Clauses.
Email us if you'd like a copy of the relevant safeguards.
7. How long we keep it
| Information | How long |
|---|---|
| Questionnaire answers where no report was ordered | Deleted 30 days after the questionnaire was completed |
| Questionnaire answers and the report, for paid orders | 12 months after the report is sent, so we can handle rewrites and questions, then deleted |
| Order and payment records, and your checkout consent | 6 years from the date of the order (Taxes Consolidation Act 1997, s.886), or longer if a claim or Revenue inquiry is open |
| Emails and complaints | 2 years after the matter is closed, or longer if a claim is ongoing |
| College report waitlist | Until we email you that it's open, plus 30 days, or until you unsubscribe, and no longer than 2 years |
8. Your rights
You have the right to:
- get a copy of the information we hold about you;
- have it corrected;
- have it deleted;
- restrict how we use it;
- object to how we use it;
- withdraw consent where we rely on consent;
- receive the information you gave us in a portable format.
Some rights have limits; for example, we must keep payment records for tax.
Your child's information. A child is the owner of their own personal data. As their parent or guardian you can usually exercise these rights for them. An older child can also ask us directly. We'll always act in the child's best interests and may need to check who's asking before we release anything.
Your right to object. Where we rely on legitimate interests (section 3), you can object at any time. We'll stop unless we have compelling grounds or need the data for a legal claim.
To use any right, email hello@subjectmatch.ie. We'll reply within one month. It's free.
Complaints. If you're unhappy with how we've handled your data, please tell us first. You also have the right to complain to the Data Protection Commission at dataprotection.ie.
9. Keeping it safe
- We only collect what the report needs.
- Access is limited to the person who runs SubjectMatch.
- Our providers' accounts are protected with strong passwords and two-step sign-in.
- We delete information on the timeline above.
If there's ever a data breach that's likely to put you at risk, we'll tell you and the Data Protection Commission as the law requires.
10. Changes
If we change this notice in a way that matters, we'll update the date at the top and, where we have your email, tell you.
For young people: the short version
- If your mum, dad or guardian orders a report, we use your first name and your answers to write it. It's there to help you pick subjects.
- If they don't order one, we delete your answers after 30 days. We don't ask for your surname, your school's name or anything about your health.
- A person reads the report before it's sent to your parent or guardian.
- We don't sell your answers, we don't use them for ads, and we don't use them to train AI.
- We delete your answers 12 months after the report is sent.
- If you want to see what we have about you, or want it deleted, you or your parent can email hello@subjectmatch.ie.
Cookie Policy

The short version
We don't use analytics cookies or advertising cookies. We only use the small amount of browser storage the site needs to work. That's why we don't show you a cookie banner asking for permission.
If we ever add analytics or advertising, we'll ask first, with "Accept" and "Reject" buttons given equal weight, and we'll update this page.
What cookies and browser storage are
Cookies are small files a website saves in your browser. Similar storage, such as sessionStorage and localStorage, does the same job. Irish law (S.I. 336/2011) only lets a site use them without asking when they're strictly necessary for a service you've asked for.
What our site uses
| Name | Set by | What it does | How long | Needed? |
|---|---|---|---|---|
sm_n (sessionStorage) |
SubjectMatch | Holds your child's first name between the questionnaire and the order page, so the page can show it | Deleted when you close the tab | Yes, for the page you asked for |
| Questionnaire progress | Tally, on our questionnaire page | Saves your answers as you go so you don't lose them | Until you finish or clear your browser | Yes |
| Stripe cookies | Stripe, on Stripe's checkout page | Keeps payment secure and prevents fraud | See stripe.com/cookie-settings | Yes |
[Before launch, confirm with a cookie scan: (1) that Webflow sets no non-essential cookies; (2) that fonts aren't loaded from Google's servers, or if they are, list them; (3) that referral and campaign details are not kept in browser storage. If any of these are, list them here or ask for consent.]
Your choices
You can block or delete cookies in your browser settings. If you block the ones listed above, the questionnaire or checkout may not work.
